Answering the people who contact you
Where form submissions land, who they go to, and how to reply without losing the thread.
3 minute read
Anyone who fills in the form on one of your pages arrives under Leads. That is the number that decides whether any of this was worth doing, so it gets its own screen, built for answering rather than for counting.
Who gets it
A lead from a listing page goes to whoever owns that listing. A lead from your own profile goes to you. A lead from the agency page goes to an admin, because a page that belongs to everyone belongs to nobody, and an inquiry sitting unclaimed while three people each assume someone else has it is the worst outcome available.
Everyone on the team can see every lead. Routing decides whose name is on it, not who is allowed to look.
Replying
There are three openers to start from: an introduction with your availability, a proposed showing, and a question about what they are after. Edit before you send. They are a first line, not a script.
If they left an email, the reply opens your own mail app addressed to them. If they only left a phone number, the button copies the message instead, so you can paste it into whatever you actually text from. You are most likely at a desk when you read this, and a phone link on a desktop does nothing useful.
Either way the conversation happens in your email or your phone, not in here. We are not trying to be your inbox. We are trying to make sure you know the person is waiting.
What they read first
Each lead shows the pages that person looked at before they wrote to you. Someone who read one listing and wrote is a different conversation from someone who worked through four and then wrote, and it is worth knowing which one you have before you pick up the phone.
Keeping the list honest
- Open is everything nobody has replied to yet. This is the only count that should nag you.
- Mark contacted once you have replied, so the rest of the team can see it is handled.
- Archive anything that went nowhere. It stays searchable and stays in the export.
- Archived leads can be deleted outright, which removes the name, the contact details, and the message for good.
Getting them out
Export CSV downloads the whole list, ready for your CRM. A lead you cannot get out of here is one you retype badly, eventually, or never.
Try it on one of your listings.
